How to use this calculator

  1. Enter how many people will need a paid licence on day one - not how many you hope to have in three years.
  2. Pull the per-user list price from the vendor's middle tier. Entry tiers almost always lack features you will need within twelve months.
  3. Add the implementation quote if you have one. If you do not, budget 100-200% of year-one licence cost - that is the industry norm for mid-market deployments.
  4. Include realistic add-on spend. Marketing automation, extra sandboxes, API overages and premium support are the usual suspects.
  5. Compare the three-year figure across vendors, not the monthly one. Vendors compete on headline price and recover margin over the contract life.

Is the cheapest CRM tier ever the right choice?
Rarely. Entry tiers cap users, pipelines or automation runs, and the upgrade path to the next tier is usually priced at full list. Teams that start on entry tiers typically migrate within twelve months at a higher effective cost than if they had started one tier up.
How much should implementation really cost?
For a mid-market deployment, plan on 100-200% of your year-one licence spend. That covers configuration, data migration, integrations and training. Anything quoted below 50% usually means you are doing the work yourself with a partner's template.
Do CRM vendors negotiate?
Nearly always, especially in the last two weeks of a quarter. Annual prepayment, multi-year commitments and reference-customer agreements are the three levers that move price most. Expect 15-30% off list for a two-year commitment.
Why does headcount growth matter so much?
Because per-seat pricing compounds. At 20% annual headcount growth, your licence bill roughly doubles over three years even if the per-seat price never changes. It is the most commonly missed line in a CRM budget.
