Every CRM quote shows licences. Almost none show deployment, and deployment is where a CRM project goes over budget. Integration with the systems you already run, migration of the data you already have, configuration of the process you actually follow, and training of the people expected to use it.

This calculator prices those four from consultant day rates, and expresses the total as a multiple of your first-year licence spend. That multiple is the number to put in front of whoever signs the purchase order.

How to use this calculator

  1. List every system the CRM has to talk to. Each one is a separate integration project with its own estimate, and the number is usually higher than expected.
  2. Count records honestly, then add a margin for deduplication. Migration time is driven by data quality far more than record count.
  3. Estimate configuration in days rather than thinking of it as free. Pipelines, permissions and reports are work, and someone has to do it.
  4. Budget training on headcount, not on licence count. Support staff and managers need to read the CRM even if they do not have a full seat.
  5. Look at the multiple of licence spend. If implementation exceeds licences - and it often does - the business case has to carry both, not just the quote you were given.

Frequently asked questions

What is a typical implementation cost as a share of licences?
For a mid-market CRM, deployment commonly runs between one and two times the first year of licence spend. Simple self-serve deployments at small seat counts can be well under that; heavily integrated deployments with messy legacy data land above it.
Can I avoid implementation cost by configuring it myself?
You can move the cost rather than remove it. Internal configuration consumes your team's time, which has a value even if it does not appear on an invoice. It is often the right choice for a straightforward deployment - it is rarely right when integration or migration is involved.
Why is data migration so expensive?
Because source data is never as clean as anyone believes. Duplicates, inconsistent company naming, half-filled fields and orphaned records all have to be resolved before import, and resolving them is human judgement work rather than a script.
Does the 20% ongoing support figure hold?
It is a reasonable planning assumption for standard vendor support and maintenance, and it is common in enterprise contracts. If you are buying partner-managed support or continuous development, the ongoing figure is higher and belongs in the same business case.
