Survey Software Cost Calculator

Survey tools price on seats but bill on responses. This calculator shows what a completed response actually costs you - software and incentives together.

Enter your numbers

Only people who build and analyse surveys need seats. Respondents never do.

Check the fine print: some plans cap responses per survey, not per account.

Set to 0 if you do not pay participants. B2C panels typically run 1-5 per completed response.

Software cost per completed response

--

All-in cost per response (software plus incentives)

--

If you pay participants, this is the number that decides your research budget - it is usually 10-30x the software line.

All-in annual cost

Response overage charges

--

Annual incentive spend

Estimates only. Vendor pricing and contract terms vary - always confirm figures on a written quote. Results update as you type and nothing is sent to a server.

Survey platforms advertise a per-seat price and quietly enforce response caps. The moment you cross the cap, overage billing starts - and the number teams almost never compute is the all-in cost per completed response once respondent incentives are included.

That last line matters: if you pay participants, incentives typically cost 10 to 30 times what the software costs per response. The subscription is rarely the constraint on how much research you can afford.

How to use this calculator

  1. Count the responses you actually collected last year, not the volume the plan's marketing page assumes.
  2. Check whether response caps apply per survey, per month or per account - they are billed very differently.
  3. Decide your incentive per response before choosing a plan; it dwarfs the seat price.
  4. Compare plans on all-in cost per response, not on monthly subscription.

Want the response caps in writing?

SurveyMonkey publishes its per-plan response limits and overage pricing openly, which makes it one of the few platforms you can model without a sales call.

Optimising for completion rate instead of volume?

Typeform's one-question-at-a-time format lifts completion rates, which lowers your effective cost per completed response even when the seat price looks higher.

Frequently asked questions

Why do survey tools cap responses at all?
Response volume is the platform's real cost driver (hosting, processing, panel delivery), and caps create a natural upsell path. It also means two plans with the same seat price can differ enormously once your volume grows.
How much should I pay respondents per survey?
Consumer panels typically pay 1-5 for a 5-10 minute survey; B2B audiences cost several times more. If your incentive per response is above roughly 3, the software subscription becomes a rounding error in your budget.
Is an unlimited-responses plan worth it?
Run the arithmetic: if your overage spend exceeds the price gap to the next tier for two consecutive quarters, upgrade. Below that, the capped plan plus overages is usually cheaper than paying for capacity you do not use.

Next steps

Research budgets fail on the incentive line, not the software line. Fix your cost per completed response first, then pick the cheapest platform that fits under it.
