Per-employee-per-month (PEPM) pricing looks refreshingly simple compared to seat tiers. Two things break the simplicity: a one-time implementation fee that is quoted per employee and forgotten, and renewal uplifts of 5-10 percent per year that compound silently across a three-year contract.

With an 8 percent annual uplift, year three of your HRIS costs 17 percent more than year one for identical functionality. Most buyers never notice because headcount grew and the invoice grew with it.

What is a normal PEPM price for HR software?
Core HRIS functionality runs 6-15 per employee per month for small and mid-size companies. Full-suite platforms with payroll, benefits and talent modules land at 20-40 PEPM. Anything below 5 usually means you are looking at a point tool, not an HRIS.
Can I avoid the renewal uplift?
Often yes. Multi-year contracts signed up front commonly freeze the rate for the term. If you sign annually, ask for a capped uplift (3-5 percent) in the order form - it is one of the most negotiable clauses in SaaS and almost nobody asks.
Is implementation really charged per employee?
It is usually quoted either as a flat fee or as a percentage of first-year contract value, which works out to roughly the same thing. For an 80-person company, 25-50 per employee for onboarding and data migration is typical.
