Support platforms advertise a per-agent price. Then AI reply features are billed separately per agent, and some providers - Intercom most notably - charge per conversation resolved on top of the seat fee.

This calculator adds all three layers. It matters most for teams that have been told AI will reduce headcount: the tooling that does the reducing is often priced at close to the cost of the agent it replaces.

How to use this calculator

  1. Enter full agent seats. If some of your team only needs to view tickets, check the light agent rate - on some platforms it is free, on others there is no difference.
  2. Turn the AI add-on on and off to see its share of the bill. On the enterprise platforms it is priced per agent and can approach the seat cost itself.
  3. Enter a realistic monthly ticket volume even if your chosen platform does not charge per ticket - the cost per ticket output is the figure that tells you whether self-service is worth building.
  4. Add onboarding if the provider quoted it separately. Help desk migrations carry help centre content, macros and integrations with them.
  5. Compare cost per ticket, not cost per agent. A cheaper seat price on a platform that charges per conversation can be the more expensive option at high volume.

Why is the AI add-on so expensive relative to the seat?
Because it is the newest capability and it is priced against the labour it displaces, not the compute it consumes. Vendors know a support leader buying AI resolution is comparing it to an agent salary, so it is priced accordingly. That does not make it bad value - it makes it a decision to make deliberately rather than by default.
Which platforms charge per conversation?
Intercom is the best-known example, charging a seat fee plus a per-resolved-conversation fee on its entry tier. The effect is that cost scales with support volume rather than team size, which is cheap when you are small and expensive once volume grows.
Do light agents or view-only users cost anything?
It varies sharply. Zendesk and Help Scout both offer reduced or free roles for people who do not resolve tickets. Zoho Desk is generally the cheapest per full agent. If a third of your users only need visibility, this single setting can move the bill more than a tier change.
Is help desk software ever cheaper than hiring?
Only when it deflects tickets rather than handles them. A help centre, a good macro library and a working AI deflector reduce volume; a better ticket interface just moves the same volume faster. Model deflection savings against the AI add-on cost, not against a headcount you have not changed yet.
